- ACCIDENTS - if the vehicle is involved in an accident, that leaves the vehicle off-the-road, (whether your fault or a 3rd party), you are still liable for the rental charges until the vehicle has been repaired

- AIRPORT CHARGES – all rentals starting or ending at an airport will incur a one-off £8.00 airport surcharge

- AVAILABILITY – where a specific vehicle is requested we will do our utmost to provide it, however we cannot guarantee makes and models, and a similar vehicle in the same group or above may be provided

- BREAKDOWN - the vehicles are covered under manufacturer’s warranty and have full AA / RAC breakdown cover

- DAMAGE – any damage caused to a rental vehicle will be the responsibility of your company, and must either be paid for by yourselves or your insurance company
- payment for windscreen / tyre / accidental damage is your responsibility

- DELIVERY AND COLLECTION – a small charge may be made for delivery and collection of external rental vehicles, but wherever possible we will provide this service free of charge

- DRIVING OFFENCES - all speeding fines / parking tickets / wheel clamps are the responsibility of your driver(s)

- FOREIGN HIRE - any rental vehicle cannot be taken overseas without obtaining the relevant documentation from ourselves first. An additional daily charge, along with the option of European breakdown cover, is added to the invoice.

- FUEL - vehicles will be supplied full of fuel, and any fuel not replaced will be recharged at various rates (dependant on current pump prices)

- INSURANCE - all rentals are based on your valid, current, comprehensive company insurance
- the insurance must be in place from the beginning of the hire until at least four hours after the scheduled collection time
- any equipment, personal belongings etc inside car are covered on your own insurance

- MILEAGE - a mileage restriction of 2500 miles per 28 days applies (unless stated otherwise) – 13p per mile thereafter
- when a vehicle reaches a service or de-fleet mileage you must inform us immediately (dependant on vehicle manufacturer and vehicle supplier)

- OUT OF HOURS – any vehicle which needs delivering out of standard office hours may incur an out of hours charge of between £10 and £30. Wherever possible we will endeavour not to make this charge.

- PAYMENT – all rental invoices carry a thirty day payment term and all cheques must be made payable to “Allen Fleet Services”. Payment can also be made by Direct Debit.

- REPAIRS - all service, warranty or accident repair work must be carried out by ourselves, unless we authorise an alternative supplier

- VALETING – all vehicles will be supplied valeted both inside and out, and whilst we understand that some dirt is acceptable, any vehicle returned in a sub-standard condition will be valeted, and the cost re-charged to yourselves

- VEHICLES WRITTEN OFF – all vehicles that there is a shortful relative to the value against the insurance payment, will be liable by the company driving the rental vehicle.
